PHBChoices Membership Levels

Standard service

Self service use of the system to perform the following functions;

  • Register an account
  • Accept a proxy once approved by the CCG
  • Purchase goods and services from suppliers
  • Approve and pay for goods from suppliers
  • Agree service schedules with service providers
  • Approve and pay invoices to service providers
  • Set up Personal Assistants, their contracted hours, pay rates, timetable and timesheets.
  • Set up the chosen Payroll Provider and associate the PHB Holder, Personal Assistants and Payroll Provider to make salary payments.
  • Utilise the ‘my account’ functionality to track activity and budget
  • Rate suppliers
  • Make changes to the account such as adding or terminating service schedules
  • Add and terminate personal assistants and payroll providers as required
  • Access to PHBPayroll via PHBChoices to provide one payslip per directly employed personal assistant per 4 week period (up to a maximum of 4 personal assistants) at no additional charge, subject to acceptance of PHBPayroll T's & C's.
  • Close down the account

Enhanced Service – PHB Holder

Set Up

  • Liaise by telephone and email with the PHB Holder to help them set up and engage with their Personal Assistants (employees) and Payroll Provider to complete the online Personal Assistant set up form with all details of Personal Assistants, their contracted hours, pay rates, timetable and timesheets. To set up the chosen Payroll Provider and associate the PHB Holder, Personal Assistants and Payroll Provider to make salary payments.
  • Liaise by telephone and email with the PHB Holder to help them set up their care suppliers (companies), complete and accept a service schedule with agreed hours and rates.
  • Liaise by telephone and email to help the budget holder to activate a proxy (if agreed with the CCG) following CCG approval and set up of Proxy.
  • Access to PHBPayroll via PHBChoices to provide one payslip per directly employed personal assistant per 4 week period (up to a maximum of 4 personal assistants) at no additional charge, subject to acceptance of PHBPayroll T's & C's.

Ongoing

  • Liaise with the PHB Holder/Proxy by telephone and email on a weekly basis to approve/dispute timesheets.
  • Liaise with the PHB Holder/Proxy by telephone and email on a weekly basis to approve/dispute supplier invoices.
  • Make service requests to new care suppliers when requested by PHB Holders/Proxies
  • Close down service schedules when existing suppliers are no longer being used
  • Set up new Personal Assistants as requested by the PHB Holder /Proxy
  • Close down Personal Assistant’s service schedules and timesheets for Personal Assistants leaving the PHB holders employment
  • Liaise with the payroll provider as required
  • Purchase goods as requested by the PHB Holder/proxy
  • Support PHB Holders/Proxies to understand their account and budget balances
  • Leave feedback for suppliers as requested by the PHB Holder/Proxy

Close Down

  • Liaise with the PHB Holder/Proxy to close the account
  • Liaise with the PHB Holder/Proxy to approve and pay outstanding timesheets
  • Liaise with the PHB Holder/Proxy to approve and pay outstanding invoices
  • Liaise with the PHB Holder/Proxy to close down Personal Assistant bookings
  • Liaise with the PHB Holder/Proxy to end service booking with suppliers including the payroll provider
